Multi-passenger claim contracts with e-signature and reminders
For a European web agency, we extended a flight-compensation claim calculator to handle extra passengers, send each passenger their own contracts for electronic signature and chase unsigned documents automatically.
Results
- Claim calculator extended to add passengers, each with their own contracts
- Separate e-signature requests per document sent to each passenger through Zoho Sign
- Automatic reminder emails for unsigned contracts
- Agency confirmed everything worked, within a month of the request
The challenge
A Bulgarian web agency maintains a flight-compensation claims website for a client. Passengers whose flights were delayed or cancelled use an online calculator to check their entitlement, and the calculator then generates the paperwork needed to pursue a claim: a contract and a power of attorney.
The existing calculator already generated these contracts, but the agency wanted it to go further. It asked us to let one claim cover several passengers, collect legally signed documents online and follow up automatically when signatures were missing.
What we did
- Extra passengers. We extended the PHP and JavaScript calculator so a claimant can add further passengers to the same claim, each with their own details and a validated, unique ten-digit personal identification number.
- Per-passenger contracts. Each passenger now receives their own contract emails rather than relying on a single lead claimant, with signature fields placed for each person.
- E-signature integration. We integrated the Zoho Sign API so that every document is sent as a separate signature request, with signatures placed and named correctly on both the contract and the power of attorney.
- Automatic reminders. A scheduled task checks for unsigned documents and sends reminder emails after three days and again after one week, so cases keep moving without manual chasing.
- Staged delivery. We delivered the reminder task first, then the e-signature flow, so the agency could test each part on the live calculator as it was completed.
